Privacy Policy
COS Marketing Workbench · Effective October 12, 2026
This policy explains what information the COS Marketing Workbench (the "Workbench", at coloradosprings.marketing) collects, how it is used and who it is shared with. The Workbench is operated by Infront Webworks ("we", "us"), 5350 Tomah Dr., Suite 2800, Colorado Springs, CO 80918, USA.
The Workbench is a private tool for Infront Webworks staff and partners who have been given an account. It is used to plan and manage SEO and web-marketing work for our clients.
Google user data
This section explains how the Workbench handles information it receives from Google when you choose "Sign in with Google".
Data accessed
The Workbench requests only Google's basic sign-in permissions (openid, email and profile). From these, Google provides your email address, whether that address is verified, your name, your profile picture link and a Google account identifier. The Workbench does not request or access any other Google data: no Gmail, Google Drive, Calendar, Contacts or other Google services.
Data usage
We use your verified email address for one purpose only: to match you to the Workbench account an administrator has created for you and sign you in. Your name, profile picture and Google account identifier are not used. Google user data is not used for advertising, is not sold, is not used to make decisions about you, and is not used to develop, improve or train any artificial intelligence or machine learning models, including the AI features of the Workbench.
Data sharing
We do not share, transfer or disclose Google user data to any third party, including our AI provider. The only exceptions are where required by law, or where necessary to protect the security of the Workbench or its users.
Data storage and protection
The Workbench does not store your Google password, Google access tokens or refresh tokens; the sign-in token from Google is checked and then discarded. After sign-in, the Workbench keeps only a session cookie and a record of the time of your last sign-in. All traffic is encrypted with HTTPS (TLS), each sign-in is protected against forgery with one-time security codes, and access to the servers and database is limited to authorized Infront Webworks personnel.
Data retention and deletion
Because the Workbench does not store the data Google provides beyond the sign-in itself, no Google user data remains after you sign out. Your Workbench account (your name and email address, entered by an administrator) is kept while you have access to the Workbench, and deleted when an administrator removes the account or when you ask us to delete it. To request deletion, email info@infront.com; we will delete your account information within 30 days, including from backups. You can also remove the Workbench's access to your Google account at any time at myaccount.google.com/permissions.
Limited Use
The Workbench's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Information we collect
- Account information. Your name, email address and role, entered by an administrator when your account is created.
- Google sign-in. If you sign in with Google, we use your verified email address to sign you in, as described in Google user data above.
- Password sign-in. If you use an email and password instead, the password is stored only as a secure one-way hash.
- Work records. The tasks, hours, notes, assignments and other entries you and your colleagues make in the Workbench.
- Client data. Information our team uploads or collects about client websites, such as website content, analytics and search exports, and documents. This data belongs to our clients and is handled under our agreements with them.
- Technical information. Our servers keep standard logs (IP address, browser type, pages requested and times) for security and troubleshooting.
Cookies
The Workbench uses a single essential cookie to keep you signed in. It does not use analytics, advertising or tracking cookies.
How we use information
- To sign you in and give you access to the projects you work on.
- To run the Workbench: analyses, work plans, task assignment and progress tracking.
- To send work notifications by email, such as when a task is assigned to you or handed back.
- To keep the Workbench secure and to fix problems.
We do not sell personal information, and we do not use it for advertising.
Service providers
- Google provides the "Sign in with Google" service (see Google user data).
- Anthropic provides the Claude AI model used for SEO analyses and AI-drafted content. Client website content, uploaded client data and task details are sent to Anthropic's API for processing. Under Anthropic's commercial terms, this data is not used to train its models. No Google user data is sent to Anthropic.
- Hosting. The Workbench and its email notifications run on servers managed by Infront Webworks in the United States.
We may also disclose information if required by law, or where necessary to protect our rights, our users or the public.
Retention and deletion
We keep personal information only for as long as needed for the purposes in this policy, unless a longer period is required or permitted by law. Account information is kept while your account is active and deleted when an administrator removes the account or at your request. Work records and client data are kept for as long as we work with the client, or as our agreements require. Backups are kept for up to 30 days and then deleted. When a retention period ends, the data is deleted or destroyed.
Security
The Workbench is only available over encrypted connections (HTTPS). Access is limited to people with an account, and each person sees only the projects their role allows. Secrets such as passwords and keys are never shown in the application.
Your choices
You can ask us to access, correct or delete your personal information by contacting us using the details below. Because the Workbench is a work tool, some records (for example, hours logged against client work) may need to be kept for business or legal reasons.
Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it was last changed.
